Graduate Assistant Hiring and Onboarding

These procedures were developed to assist academic departments with hiring and onboarding graduate assistants. Please contact The Graduate Admissions office with any questions.

Graduate Assistantships: Hiring Steps

  1. Graduate Coordinator provides Human Resources a copy of the job description or notifies them that the job description from an earlier year should be reposted.
  2. Department hiring committee screens applicants and decides whom to hire.
  3. Department Administrative Assistant initiates the Request to Hire (RTH) for each accepted candidate and sends rejection notices to those not chosen.
      1. Administrative Assistant logs in to Interview Exchange and searches for the accepted candidate’s name.
      2. Administrative Assistant clicks on the candidate’s name and then clicks on the blue highlighted “Recommendation to Hire” text.
      3. Administrative Assistant chooses the “Request to Hire” template
      4. Administrative Assistant fills out the RTH form
        1. Title/Name : First, Last – Graduate Assistant – Area (if applicable)
        2. Budget Title: Graduate Assistant
        3. Position Title: Graduate Assistant
        4. Department: Department where the GA will work
        5. Supervisor: GA Supervisor
        6. Salary: Leave blank
        7. Appoint Type: Temporary
        8. Appt Dates: 8/xx/xx – 5/xx/xx (The first day of classes in August and the day before commencement in May)
        9. Professional Ob Dates: Leave blank
        10. The rest of the form can be left blank.
        11. Add Approvers: Chair, Leah Betts, Jayme Delcamp, Stephanie Teachman, Leah Betts
      5. Administrative Assistant clicks the save or submit button.

OnBoarding Steps

  1. Department Administrative Assistant signs on to Onboarding module of Interview Exchange.
  2. Department Administrative Assistant clicks on the red “start new packet” text in the top right corner and fills out information about the candidate.
      1. Title: Graduate Assistant – Department
      2. Name: Last, First
      3. Email: Email address from candidate’s resume 
      4. Dept: Department where the GA will work
  3. Department Administrative Assistant chooses the Graduate Assistant template.
  4. Department Administrative Assistant clicks the “Create” link.
  5. Department Administrative Assistant enters "Start Date" (first day of the semester) at top of page.
  6. Department Administrative Assistant clicks the “unassigned” text and assigns the packet to Jayme Delcamp.
  7. Department Administrative Assistant clicks the “Publish” button.
  8. Jayme Delcamp prepares and uploads contract letter and assigns to GA.
  9. Jayme Delcamp creates COS.

Graduate Assistantships: Guiding Principles

The GA experience should be a learning experience where the GA works with faculty. This can
be in the form of teaching, scholarly, or discipline-specific experience, all of which occur within the academic area of the GA’s program. The experience should provide direct connection with the graduate learning goals adopted by Graduate Council. GA responsibilities should directly relate to the chosen program of study. The GA experience should provide professional development and advance the graduate student’s ability to achieve career goals in their discipline. GA lines should be used for recruitment of graduate students to Fredonia.

  • Build on foundational knowledge attained through previous academic work

Research & Creative Activities

  • Practice advanced skills and knowledge in a professional setting such as conferences, performances, classrooms and online professional venues​​​​
